As we grow our business, we are looking for an Executive Assistant to come and join our team. Your responsibilities are below but you will not be limited to this and there is a great amount of opportunity to grow in the business.
Based – Canary Wharf
Key Responsibilities:
- Manage all aspects of general office administration including but not limited to maintaining and developing administrative systems, managing post and deliveries, office supplies and maintenance.
- Liaising with office suppliers - IT / building mgmt. / telephone & power suppliers
- Keeping a clean and tidy office environment
- Answering calls & taking messages
- First point of contact when welcoming clients to the office
- Booking meeting rooms and making meeting arrangements as required
- Attending team meetings, consolidating information, taking notes and translating them into actionable minutes.
- Ensure all filing (both electronic and physical) is up to date and well-managed.
- Booking travel and logistics
- Managing office / team expenditure and reporting to accounts department
- Manage holiday requests and sickness.
- Reviewing culture policies and updating Culture Book
- Assisting Director with appraisal process
- Recruitment support and onboarding new hire (welcome gifts / office tour)
- Helping to build a strong team dynamic and culture.
- Organising team socials / bi-annual off sites alongside the Founder
- Create exciting ways to celebrate events and moments important to the team culture (e.g.: anniversaries, birthdays & other special occasions)
- Arrange ad hock treats for the office & clients.
- Special project work (e.g.: new office location / Client gifting / presentations)
- Administration support for Company awards EA/PA SUPPORT FOR THE FOUNDER
- Diary Management for Founder
- Family flights & accommodation
- Ad hoc admin tasks / research (e.g.: setting up bank accounts / researching family holiday destinations)
- Admin support for personal properly portfolio
- Support adhock personal projects
Support on Charity tasks and building the charity alongside the team of Trustees
WE NEED SOMEONE WHO:
- Is a great communicator with people of all levels and has excellent customer service skills.
- Has previous experience in managing offices and supporting (ideally creative) teams.
- Has a natural desire to organise and nurture those around them.
- Is a do-er, a yes person, proactive by nature.
- Can work in a calm and organised manner when under the pressure of tight deadlines and client/team demands, with a desire to go the extra mile.
- Well-organised, fast-paced, fun, creative, outgoing and happy to work as part of a small team and on your own and has the ability to use initiative.
- The intellectual capability to support a mixed team of creatives, doers, and thinkers.
- Is comfortable in a small business environment.
Job Types: Full-time, Permanent
Salary: £18,000.00-£20,000.00 per year
