The Role Responsibilities
- Standard Chartered is looking for highly organised and motivated Senior Personal Assistant to provide administrative support to the Global Head, Employee Advocacy.
Candidate Profile
- Ability to build strong partnerships with key stakeholders.
- Proven professional work experience in a similar support role, dealing with global time-zones, and multiple stakeholders.
- Strong organizational skills, proactive, detail oriented and ability to handle multiple priorities.
- Able to exercise good judgment in handling various issues on priority basis, handle multiple tasks at the same time and meet tight deadlines.

- In-depth knowledge in using MS PowerPoint, Word and Excel
Key responsibilities
- Acting as a first point of contact. Screening phone calls, enquiries and request, and handling them when appropriate.
- Dealing with all incoming email often corresponding on behalf of the manager
- Managing and coordinating diaries including booking of internal and external meetings/appointments, ensuring meetings are appropriately prioritised / delegated to other team members.
- Booking and arranging complex travel itineraries – flights, transfers, accommodation, visa applications, and other facilities as required, etc. in line with Standard Chartered travel policies.
- Reminding the managers of important task and deadlines while ensuring availability of all key papers/documents in advance of key meetings
- Ensuring meetings start and end on time, so that Managers are able to fulfil meeting commitments, and ensure that adequate time is set aside to complete key deliverables prior to / between meetings.
- Prepare and process travel and expense claims.
- Taking responsibility for accounts and budgets
- Conducting research on behalf of the manager
- Producing documents, briefing papers, reports and presentations
- Support in organising events and conferences. Provide onsite support where necessary.
- Liaising with colleagues, suppliers and clients
- Miscellaneous task to support Manager
Processes
- Prepare and manage communications: emails, letters, internal and external telephone calls, memos and faxes, in a timely and professional manner
- Effective management, prioritisation and routing of verbal and written enquiries, multitasking under pressure whilst remaining calm and professional at all times
- Appropriate, clear, accurate and timely communication with all levels of staff. Actively engage with the team and ensure that all relevant information/memos are accurately cascaded to relevant team members
- Assist in creating and delivering reporting and presentations.
- Assist in managing specific business planning projects for the Managers
- Resolve complaints and deal with issues highlighted by the Managers
- Plan and coordinate the induction for new team members; arrange logistics for the new joiner like Bank ID’s, IT requirements, etc
- Administer all relevant system transactions on behalf of the Managers delegated authority (including Travel & Expense, PeopleSoft, e-Procurement and RMS)
- Ensure archives and files are maintained in effective formats
- Assist with the smooth running of the Managers’ office and ensure premises and IT issues are promptly addressed.
- Manage tracking of all costs, PO’s and accruals in line with budget process
- Work independently, with minimal guidance whenever necessary
- Assist in delivering various ad-hoc projects (as required) to time, quality and budget

- Lead through example and build the appropriate culture and values.
- Work with the business to help deliver the Banks Employee Advocacy strategies and key priorities.
Other Responsibilities
- Provide cover and support for other PA’s across the HR area/ HRMT PAs
- Embed Here for good and Group’s brand and values in the team and across the wider HR function.
- Perform other responsibilities assigned under Group, Country, Business or Functional policies and procedures.
- Liaise, partner and coordinate with Culture, Corporate Sustainability, HR partners, Finance, D&I Analytics, Global Business Services as appropriate.
Our Ideal Candidate
- Relevant years of experience in professional administration
- Experience in executive administration and managing multiple senior reporting lines
- Understanding of geographical and cultural differences and how it impacts the subject matter topics of the area
- Role requires credibility as an expert with senior stakeholders both internal and external to the Bank
- Understanding of Employee Advocacy in specific markets desirable, especially Europe, Middle East, Africa and Asia
- Excellent interpersonal & communication skills
- Strong collaboration and consulting skills
- Proven experience delivering in a complex organisation
- Exemplary integrity, independence and resilience
- Strong knowledge of business applications (MS Office Suite)
