Role Purpose

To support the IT processes and administration functions for the delivery of the property licensing scheme within the Housing improvement Team.

Main Responsibilities

  • To provide the Housing Improvement Team (HIT) with the administrative and process support they require to deliver a customer centred services including overseeing the Property Licensing software. logging of information, responding to emails, letters, and answering the phone,
  • To monitor the Property Licensing IT database for applications and emails and carry out procedural checks for the accurate processing of licensing applications.
  • To verify the License by checking against other databases and highlight any discrepancies of licences identified to senior officers.
  • To ensure that the property licensing application fees are correct and verified.
  • To provide advice to enquiries made by landlords, letting agents and tenants regarding property licensing including the Public register.
  • To process Property Licensing enquiries logged on the software system, Inboxes or made by phone within the prescribed limit.
  • To keep accurate electronic records of communications /correspondence in line with the corporate governance policy.
  • To ensure the integrity of the information management systems operated by the Housing Improvement Team in order to assist performance management, data protection and to support service improvement and improve efficiency and value for money.
  • Contribute to the development and implementation of any new working practices and initiatives that increase efficiency and improve service delivery and enforcement.
  • Organise and prioritise own workload, renegotiating targets/deadlines as conflicting demands necessitate.
  • Undertake any other tasks and duties consistent with the basic objectives of the post and appropriate to the grade.

Knowledge, Qualifications, Skills and Experience

  • Working knowledge of the Microsoft Office suite of products
  • Knowledge of the IT based systems in use for general and specialist functionality and how they support service delivery
  • Strong written and verbal communication skills
  • Knowledge of services and the role they play in meeting needs of the community
  • Experience of providing excellent administration support functions, ideally in a complex or regulated environment
  • Ability to respond effectively to rapidly changing priorities and deadlines
  • Self-motivated and able to work with minimum supervision and priorities competing demands on your time.
  • Good personal organisation, people and relationship building skills.
  • Excellent interpersonal skills and ability to work within a team.
  • Knowledge of Haringey’s Values and how they should translate into practice.

Education / Qualifications

  • Literate and numerate.

Experience

  • Experience of using IT applications, including word processing, spreadsheets and databases.
  • Experience of effective joint working, inter agency liaison and operating in a demanding working environment.
  • Experience of working on own initiative.
  • Experience of developing and sustain effective working relationship and communication, both internally and externally with a range of contacts.
  • Experience of working in a team responsible for the enforcement of standards in private sector housing and the use of risk based inspection programmes.
  • Experience of working in a finance service in a large public sector organisation.
  • Experience of using a mainframe accounting system and PC based application.

  • Knowledge of the M3 and SharePoint information management systems and their application.
  • Knowledge of HMO licensing criteria and processes
