Job Title: Holiday Clubs Manager
Location: Coventry, West Midlands, UK
Salary: £28,000-£32,000 per annum (depending on experience)
Annual Leave: 20 days plus bank holidays (usually taken termtime)
Contract: Full-time, permanent
About the role:
We are seeking a Holiday Clubs Manager to join our team and be responsible for the development, operations, and strategic growth of our holiday clubs across the West Midlands region. The successful candidate will oversee the delivery of high-quality holiday clubs for children aged 5-11 and 11-16 years, ensuring that our programmes meet Ofsted standards and provide a fun, safe and engaging environment for children.
Key Responsibilities:
Operations:
  • Oversee the daily operations of all holiday clubs, ensuring compliance with health and safety regulations, safeguarding procedures, and Ofsted requirements.
  • Manage and support the holiday clubs team, including recruitment, training, supervision, and performance management of supervisors, activity leaders, casual sports coaches, and other staff.
  • Develop and maintain operational policies, procedures, and processes to ensure smooth and efficient running of the holiday clubs, including registration, booking, payment, communication, and feedback systems.
  • Plan and coordinate daily schedules of activities, including sports, arts and crafts, music, drama, and other educational and recreational activities, ensuring a diverse and engaging programme for children of all ages and abilities.
  • Ensure all children's dietary and nutritional needs are met, including those with Free School Meals, by coordinating the provision of high-quality, healthy, and balanced meals, and adhering to food hygiene standards.
  • Manage and report on budgets, including income, expenditure, and payroll, ensuring cost-effectiveness and financial sustainability of the holiday clubs.
  • Monitor and evaluate the quality and impact of the holiday clubs, including attendance, customer satisfaction, staff feedback, and Ofsted inspections, and take appropriate actions to improve performance and outcomes.
Development:
  • Lead on the strategic development of the holiday clubs, identifying and pursuing new business opportunities, partnerships, and contracts, and expanding the range and reach of our services to new locations and markets.
  • Conduct market research, customer analysis, and competitor benchmarking to inform the development of our holiday clubs, ensuring they meet the evolving needs and preferences of our target audiences.
  • Create and implement marketing and promotion strategies and campaigns to raise awareness and generate interest in our holiday clubs, using a range of media and channels.
  • Establish and maintain effective relationships with key stakeholders, including schools, local authorities, funders, partners, and parents, to secure support, advocacy, and funding for our holiday clubs.
  • Prepare and submit bids and proposals for new contracts and funding opportunities, working closely with the Managing Director and other team members to ensure they meet the required standards and specifications.
  • Develop and implement new initiatives and programmes within our holiday clubs, such as themed weeks, specialist activities, and partnerships with external providers, to enhance the offer and appeal of our services.
  • Provide regular reports and updates to the Managing Director and Board of Directors on the performance and development of our holiday clubs, including financial, operational, and strategic aspects.

Essential skills:
  • At least 3 years of experience in managing and developing holiday clubs or similar services for children and young people.
  • Strong operational and project management skills, including budgeting, scheduling, reporting, and compliance.
  • Excellent leadership and people management skills, with the ability to motivate, inspire, and develop a diverse team of staff and volunteers.
  • Excellent communication and interpersonal skills, with the ability to engage with and influence a range of stakeholders, including children, parents, staff, and partners.
  • Strong marketing and business development skills, with experience in identifying and pursuing new opportunities and partnerships.
  • Good understanding and knowledge of health and safety, safeguarding, and Ofsted regulations and requirements for holiday clubs.
  • Good understanding and knowledge of dietary and nutritional needs of children, including those with Free School Meals.
  • Excellent organisational and problem-solving skills, with the ability to multitask, prioritise, and work under pressure.

Desirable skills:
  • Experience in data analysis and reporting, using relevant software and tools.
  • Experience in recruitment and training of staff, including volunteers and apprentices.
  • Experience in delivering or coordinating sports, arts, music, or drama programmes
  • Experience of managing and developing successful holiday clubs, with a focus on customer service, child safeguarding, and health and safety
  • Experience of developing and implementing strategic plans for the growth and development of programmes, services or organisations
  • Strong organisational and project management skills, with the ability to manage multiple priorities and deadlines

  • Experience of developing new business opportunities and securing new contracts or funding

  • Experience of data reporting and evaluation, using systems such as Excel, Power BI or Tableau
  • Experience of recruiting and managing a diverse team of staff
  • Knowledge of the education, youth work or social care sectors
