POSITION SUMMARY

Reporting to the CEO for Europe, the main responsibility of the Executive Assistant is to support the Chief Executive Officer and the Chief Development Officer with diary management, planning of meetings and calls for each of them and wider team meetings, managing contracts, expenses and invoices


KEY RESPONSIBILITIES

  • Diary management and organising meetings and appointments
  • Reminding the CEO and CDO of important tasks and deadlines
  • Liaising with suppliers and members
  • Management of miscellaneous issues
  • Supporting Director Governance and Operations with planning team events including Christmas, summer parties and offsites
  • Travel arrangements for CEO and CDO– flights, trains, hotel bookings
  • Expenses in Concur
  • Invoice management – Workplace
  • Managing contracts
  • Invitations from CEO to various key leader groups, around key Europe events – mail merge process an essential element of role


EXPERIENCE

  • Experience working in an international business environment
  • Excellent attention to detail
  • Proficient in all Microsoft products
  • The ability to successfully handle multiple priorities, while remaining flexible, pro-active, and highly professional
  • Advanced organisational and time management skills. Good project management skills.
  • Strong communication and interpersonal skills. Ability to interact with members of the ULI Europe Executive Committee, Governing Trustees, Nominations Committee and ULI Staff.
  • Ability to create, maintain and produce highly sensitive, confidential information and documents.
  • Proficiency in one other European language preferred
  • Real estate background desired, but not essential.
  • Occasional international travel required
  • Proficiency in Netforum is beneficial


EDUCATION

  • Bachelor or Master’s degree in a relevant field or similar experience
