Job description

We are seeking a highly organised individual who can balance priorities and use their initiative to ensure optimum delivery is achieved. You will be part of a small team that is responsible for providing support to several committees. This support is critical to ensuring that governance procedures are followed and informed decisions are made.

A key part of this role will be providing an effective secretariat service across the business. Reporting directly to the Governance & Assurance manager, ensuring that the governance and advise you to provide is factual and insightful.

Responsibilities include, but are not limited to;

  • Providing secretariat support; managing processes including preparation of the agenda, distribution of papers, taking minutes and follow up of agreed actions
  • Providing internal advice on all matters of governance for DVSA ensuing that we maintain compliance with HMT, Cabinet Office and Departmental requirements and best practice.
  • Assisting with the drafting, review and updating of the Agency governance framework documentation and associated communication and training, acting as a primary point of contact for advice and guidance regarding the decision-making processes of the organisation.
  • Daily contact with Directors and Corporate Senior Leaders to provide expert advice and guidance on governance policies and processes, anticipating issues before they reach the point of escalation
  • Working with key stakeholders across the organisation to understand and be aware that all key interventions are strategically aligned to the Agency’s future and projects
  • Provide support to the Non-Executive Directors, including induction, pay, ongoing advice and support and coordination of annual performance appraisals

Person specification

You will need to be someone that has excellent organisational skills, being able to handle various competing tasks regularly. You have superb interpersonal skills, communicating effectively and remaining professional but approachable to colleagues at all levels. You can use your drive for personal development to ensure you are kept up to date with all aspects of the agency, ensuring documentation for the Committee members are clear and accurate.

You will have experience in taking accurate minutes, using your analytical skills to extract and digest key points of information to present them back to the business. You are someone that has a flexible approach, remaining resilient whenever there are setbacks. We are seeking a confident individual, being able to work autonomously and not afraid to speak up when needed.

Additional Information

Whilst we welcome applications from candidates who can work part time, please note, there is a business requirement (for this role) that the successful candidate will need to be able to work a minimum of 30 hours per week.

There will be occasional travel to other DVSA sights based in the UK, this may also include overnight stays.
